Terms & Conditions – Champions Peru Travel

At Champions Peru Travel, we are committed to ensuring that your journey to Peru is a memorable one from beginning to end. To ensure a smooth and transparent booking process, please take a moment to review our Terms and Conditions before confirming your trip. By proceeding with a booking, you consent to the following policies.

1. Booking & Reservations

All bookings are to be made directly with Champions Peru Travel via our official website, email, or in-person at our Cusco office.

To secure your reservation, we require the following information:

  • Please provide full passport details for each traveler, including full name, passport number, nationality, and date of birth.
  • A non-refundable deposit is required (see payment section below).

Your booking is confirmed upon receipt of a written confirmation email containing your itinerary and payment receipt.

2. Deposits and Payments

A deposit of USD $200–$400 per person is required to reserve your space, depending on the tour.

Deposits are used to purchase permits, tickets, and secure services immediately. Please note that these are non-refundable and non-transferable.

The remaining balance must be paid no later than two days before the tour departure in cash (USD or PEN) or via PayPal (subject to a service fee).

3. Inca Trail & Permit-Based Tours

Please note that the Inca Trail and certain Machu Picchu tours require government-issued permits. These are in limited supply and tend to sell out months in advance.

Once purchased in your name, permits cannot be changed, refunded, or transferred.

It is imperative that passport details match exactly. In the event that you renew your passport prior to travel, you will need to present both the old and new passport.

We understand that travel plans can change, but our cancellation policy reflects the strict regulations for permits and ticketing in Peru.

4. Cancellations & Refunds

Please note that deposits are non-refundable in all cases.

Cancellations made 30+ days before departure: A partial refund of the paid balance may be issued, excluding the deposit and any purchased tickets.

Cancellations made less than 30 days before departure: No reimbursements will be issued.

We strongly recommend purchasing comprehensive travel insurance to cover cancellations due to illness, flight changes, or other unforeseen events.

5. Changes to Your Booking

Requests for changes to be made at least 30 days prior to departure may be accommodated, though are subject to availability and administrative fees.

Please note that once permits for the Inca Trail tours have been purchased, name or date changes cannot be accommodated.

If changes are not feasible, alternative tours may be offered as a solution.

6. Travel Insurance

All travelers are strongly advised to have full travel insurance covering:

Medical expenses

Emergency evacuation

Trip cancellation & interruption

Lost or damaged luggage

7. Health & Fitness Requirements

Many of our tours involve high-altitude trekking and require a moderate to good fitness level.

Travelers are required to disclose any medical conditions prior to booking.

It is the traveler's responsibility to ensure they are in suitable health for the chosen itinerary.

Champions Peru Travel will not be held liable for any illnesses, injuries, or altitude-related conditions that may arise prior to or during the trip.

8. Travel Documents

It is essential that you carry a valid passport with at least six months of validity.

For Machu Picchu and Inca Trail tours, please present the original passport used at the time of booking.

Please note that visa requirements vary by nationality; it is the traveler's responsibility to verify entry requirements.

Please note that we are not responsible for delays, changes, or cancellations caused by force majeure events (e.g., strikes, weather, political instability, pandemics).

10. The responsibilities of the traveler are as follows:

Please arrive on time for departures. Please note that delays caused by the traveler may result in missed parts of the itinerary, and no refunds will be issued in such cases.

It is essential to adhere to the safety guidelines provided by the guides.

It is essential to treat local communities, heritage sites, and natural environments with the respect they deserve.

11. Force Majeure

In the event of circumstances beyond our control (e.g., extreme weather, government restrictions), we reserve the right to alter itineraries for safety reasons. While we cannot guarantee refunds, we are committed to offering the most suitable alternative arrangements.
